The Peruvian system of services and products sometimes differs to that in your home country. We strongly suggest you read the following carefully:
These Terms and Conditions govern the relationship between you and www.imperiostravel.com doing business as Imperios Travel Agency “the Company”. By booking a trip, you agree to be bound by these Terms and Conditions that outline, among other things, the cancellation policy and certain limitations of liability. These Terms and Conditions affect your rights and designate the governing law and forum for the resolution of any and all disputes.
All persons wishing to make a booking have carefully read and understand the Terms and Conditions that follow. By making a booking by telephone, or on the website www.inkatrail.com.pe, or by email or facsimile with the Company or its Agents, you accept on behalf of yourself and all those named on the booking including minors and person under a disability to be bound by these Terms and Conditions. A booking is accepted and becomes definite only from the date when the Company sends a confirmation invoice or email.It is at this point that a contract between the Company and the Client comes into existence. Before your booking is confirmed and a contract comes into force, the Company reserves the right to increase or decrease brochure prices. The Company or their agents reserve the right to decline any booking at their discretion. The person or persons named on the booking are hereafter referred to as the “Client”. All bookings are made with the Company.
Imperios Peru operates in regions where standards of accommodation, transport and services might not be those you would normally expect. However we strive, with all due care and skill, to provide the best services for our tourists. Travelling in Peru requires flexibility, patience, broad-mindedness, good humour and understanding that changes may be made without notice due to circumstances beyond our control (Force Majeure - see below). By booking any of our tours you agree to Imperios Peru Travel Agency making necessary changes without liability.
This is any event that Imperios Peru Travel Agency could not, even with all due care, foresee or avoid. This covers events such as war or threat, riot, civil strife, terrorist activity, industrial dispute, disease, disaster or adverse weather conditions, fire or all similar events beyond our control. In this case, Imperios Peru Travel Agency will not accept liability and reserves the right to change, postpone or even cancel the trip (this is the last option of course!)
We strongly advise you to get travel insurance that covers accidents, medical expenses and emergency repatriation, including rescue and air ambulance. We also recommend that it covers cancellations and loss of luggage. Please forward a copy/ policy number to our offices.
By booking any of our adventure trips (Inca Trail to Machu Picchu, Salcantay, Ausangate, Choquekirau, Lares trek etc.) you assume the risks associated with them. For these Imperios Peru Travel Agency accepts no responsibility.
your passport number must be a valid one, please advise us if you have or will change your passport after booking the tour (Inca Trail authorities are not very nice when checking passports at the control at Km 82). ISIC card (if applicable) must also be valid at the time of commencing your Inca trail.
(Deposit for treks to Machu Picchu):
To secure a reservation of a tour package, it is necessary to make a payment of:
Adventure treks: a $200 non-refundable deposit per person is paid for any of our Inca Trail treks( Inka Trail, Lares Trek, Salkantay Trek, Inka Jungle Trail,Choquequiraw-Machupicchu).
Student rate, in order to obtain this discount you must have a valid isic card. It is important you scan and e-mail this to us at the time of booking.
Alternative Excursions in Peru such as Machupicchu, Peru Wonders 21 days,Peru Amazing 16 days, etc) 50% of TOTAL package cost,is the deposit per person (non-refundable)
the balance will be paid upon arrival in Lima or Cusco Office.
All Transaction fees are covered by the client and it is not included in our tours prices. If payment is by Paypal add 10% per person
Deposit can be done through:
(1) Money Gram. money Transfer Company. The transfer is to be made in the names of:

The balance will be upon arrival in Lima or Cusco (Only cash or Paypal are acepted for this)
$40 per person is also applicable to all groups regardless the size to leave during these holidays: Christmas (Dec 22nd, 23rd, 24th, 25th, New Year Dec 29th, 30th, 31st, Jan 1st)
An increment is also applicable in order to leave during election days(people are fined here if they don't vote). In this case, we use the increment to pay staff a bonus for leaving on their holiday or is used to pay the fines.
*THE SAME INCREMENTS ARE APPLICABLE FOR ANY ALTERNATIVE GROUP OR PRIVATE TREK.
The night before your trek there will be a pre-trek talk (briefing) in our office at either 6 or 7 pm (exact time will be confirmed).
We require you to pay your final balance in our offices at least 48 hours before your trek leaves. Currently, we accept cash in soles only. We maintain the right to cancel your trek upon failure to make payment in this time-frame if you have not previously advised of a delayed arrival etc. (we used an exchange rate of $ 1 USD = S/. 3.60 ).
If for any reason Dollar Exchange rate falls (as it did in 2009 and 2010) we will be flexible and accept up to 10 points drop difference but we will NOT be able to accept and exchange rate less than 3 Peruvian soles per 1 USA dollar, this is order to guarantee the quality of our services to you and porters treatment too.
(1) Deposit sent for booking is Non-refundable or transferable
(2) Imperios Peru Travel Agency must be notified of any changes or cancellations to your trip as soon as you are aware of them, via e-mail or fax.
(3) once final balance has been paid( cash): We will not be able to refund your trek payment for cancellations. however will be parts of your trip that you are able to use (Machu Picchu entrance fee, 1 train ticket, 1 bust ticket).
(4) A claim letter for your insurance company can also be provided by us upon request.
VERY IMPORTANT(1):We strongly suggest staying at high altitude (above 3000 metres - in Cusco or another high altitude city) for 3 days (minimum) before undertaking the trip. This is in order to minimize the effects of possible altitude sickness. Also, you can help your body acclimatize by drinking plenty of liquids, adding a bit more sugar to your drinks, eating food rich in carbohydrates, avoiding cigarettes and alcohol and drinking coca (ancient traditional leaf) tea. Diamox can also be helpful please ask your doctor for prescription.
VERY IMPORTANT (2): It is also highly reccomended you arrive in Lima or Cusco (depending where you gonna start your excursion with us) at least some 48 hours before your trek as in case of strikes or other events happening out of our control we might need to leave earlier than scheduled (see above Force Majure).
Please also bring your travel insurance information (company name and policy number) for our records.
The Company reserves the right to cancel any trip for any reason, but will not cancel a tour less than 60 days before departure except for Force Majeure, unusual or unforeseen circumstances outside the Company’s control.
When a tour is cancelled by the Company, the Client may choose between a full refund of all monies paid or at the Company’s option any alternative tour offered by the Company at no extra cost. The Company is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable flights or rail, non refundable car parking or other fees, loss of earnings, or loss of enjoyment, etc.
If the alternative trip chosen is of a lower value than that originally booked, then the Client is entitled to a refund of the price difference.
If the Client is offered a refund but requests an alternative tour of a higher value than that originally booked, then the Client must pay the difference in price.
Where a significant element of the trip cannot be provided, the Company will make suitable alternative arrangements for the continuation of the trip.
There will be no discounts or monies refunded for missed or unused services, this includes voluntary or involuntary termination/departure from tour, i.e. sickness, death of a family member etc, late arrival on the tour, or premature departure either voluntarily or involuntarily.
The Client must be in possession of a valid passport required for entry, departure and travel through each destination point along,the itinerary of the tour, (passport must be valid 6 months past the return date), all visas, permits and certificates including vaccination,certificates, insurance policies, required for the whole of the journey. The Client accepts full responsibility for obtaining all such documents, visas and permits prior to the start of the tour, and is solely responsible for any adverse consequences resulting from missing or defective documentation. Any information or advice given by the Company regarding visas, vaccinations, climate, clothing, baggage, special equipment, etc. is purely advisory, provided as a courtesy to the Client, and the Company is not responsible for any errors or omissions as to the information provided by third parties such as the appropriate governmental authorithies.
To expedite the issuing of IMPERIOS PERU travel documents please note that all tour related travel documents such as vouchers, itineraries and invoices will be sent via email.
The Company reserves the right to impose an Administration Fee on those Clients who wish to receive theirtravel documents by other means.
If a Client has a complaint against our Service, the Client must first inform the tour leader at the earliest opportunity to allow the grievance to be rectified. If satisfaction is not reached, contact the Company representative or local Office Manager whilst on tour in order that the Company is provided the opportunity to rectify the matter. If satisfaction is still not reached through these means on tour then any further complaint must be put in writing to the Company via its offices or directly to head office at (William, Manager) within 05 days of the end of the tour. The Company will not accept any liability for claims received after this period.
The Company will provide personal information, as well as any personal information provided in relation to persons whose travel arrangements have been requested by the Client, to suppliers and carriers to enable the operation of the services requested. The Company will do all reasonably possible in endeavoring to protect personal information gave for you.
